This proposal is based on the information gathered from our meeting with you and Juanita Maples. If we have misinterpreted your requirements we will be happy to re-quote this pro- posal in any manner you desire. It is our understanding that you and Mrs. Maples need maps of Kerr County that can be wall mounted and at a workable scale. You both have copies of Kerr County maps which have been field checked and corrected. These maps will be used by TRC Engineering to develop the digitized maps. The County will arrange for any additional field verifi- cation that may be required. Our mission will be to "Digitize" these maps and provide the County maps for wall mounting and any other uses. THE SPECIFICATION The maps will have the following information: ROADS MAJOR CREEKS HIGHWAYS RIVERS COUNTY LINES GRID SYSTEM CITY LIMITS Our plotter generates a 24" x 36" map. This is a standard size map that is very usable for desk top work. To reduce Kerr County to this size would create a scale too small for your intended use. We propose to provide three (3) maps of Kerr County that would require a wall space 6 feet wide and 3 feet high. This has the advantage of not only a larger scale, but the ability to revise and update only those areas requiring changes without re-plotting the entire map. These areas will be drawn in unused por- tions of the map at a usable scale and size. OUR PROPOSAL 1. We will digitize Kerr County from twenty-three (23) U.S. Geological Survey maps. The digitized informa- tion and grid system will be put on in layers as di- rected by Kerr County. Fifty-nine (59) man-machine-software hours will be re- quired for this work. The cost for this phase will be $2,124,00. 2. We will update the road information on the digitized maps with the county furnished, field verified maps, and generate proof copies for approval. Forty-six (46) man-machine-software hours will be re- quired to do this work. The cast for this phase will be $1,656.00 3. We will furnish five (5) plotted sets of maps to Kerr County at a scale of one (1) inch equals one (1) mile. The cost for these five plotted sets, delivered to Kerr County, will be $135.00. Additional plotted sets will be provided at a cost of $10.00 per map or $30.00 per set. 4. TRC will create a transparent master copy that can be reproduced with Bruning copy system. Bruning copies can then be made for Kerr County's use for $3.00 per map or $9.00 per set. This transparent master will be the property of Kerr County. 5. This proposal is valid for thirty (30) days from the date of this proposal. OUR GOAL The personnel that will be working on this mapping project have been in the mapping business for many years and know how difficult it is to define exactly what is needed for maps. We want to help you develop a set of maps that will be of the greatest benefit to you. We believe you want very functional maps, not maps for advertising or promo- tional purposes. We will assign a work order number to this project and invoice the county for the hours used to accomplish each task. The hours invoiced will not exceed our estimate unless the mapping requirements are changed. These changes will be authorized by the County before the work is done. This mapping project will be completed within forty-five (45) calendar days from the date of acceptance of this pro- posal. This timeframe is contingent upon the receipt of the mapping information, which is to be provided by Kerr County and the Kerr County Appraisal District, in a timely manner. If additional mapping work is requested by Kerr County, TRC Engineering will provide the mapping support service at a rate of $36.00 per hour. This option is a supplement to our proposal dated 4-17-89 for mapping services. OPTION #1 - MASTER ROAD INDEX GUIDE: TRC proposes to create a database file using Ashton-Tate dBase IV software which would contain all of the road names along with each roads starting grid number and ending grid number. This database file would serve as the Master Road Index Guide for readily lo- cating the roads on the county maps. It is proposed that TRC provide the county with three (3) printed copies of the Master Road Index Guide (MRIG) in each of the follow- ing formats: 1. Sorted Alphabetically by Road Name. 2. Sorted by Starting Grid Number. The county could produce additional copies of the MRIG, as required, on their reproduction machine. The cost for Option #1 will be charged at a rate of $24.00 per hour with the total cost not to exceed $1000.00 unless county approved changes are requested and implemented. At the option of the county, the process of updating and maintaining the database file with current information could be handled as fol- lows: 1. TRC will update the database file with all of the changes provided by the county and produce an up- dated listing as required at a rate of $24.00 per hour. 2. TRC will provide the county with a copy of the data- base file in order that the county could update and maintain this file on their own computer and dBase IV compatible software. As stated on the mapping services proposal, we will work with Kerr County and all represe tatives in the preparation of this database information.
