Job Description: Legal Secretary CLASS N0. 1034 OCCUPATIONAL CATEGORY: Office/Clerical PAY GROUP: 14 JOB TITLE: Legal Secretary OBJECTIVE: FLSA: Nonexempt To provide a full range of efficient secretarial and record keeping serv- ices. ORGANIZATIONAL RELATIONSHIPS: 1. Reports to: A designated department head or supervisor. 2. Directs: Does not supervise any employees. 3. Other: Has contact with other county departments or offices, employ- ees of outside law enforcement agencies and organizations, represent- atives of the legal profession, prospective jurors, and the general public. GENERAL STATEMENT OF DUTIES: This is a responsible nonsupervisory position. Duties include receiving telephone calls and visitors; providing needed assistance; typing various legal documents and correspondence; and maintaining a variety of records. EXAMPLES OF WORK: Receives incoming telephone calls and visitors, providing whatever assist- ance is needed promptly and courteously; Opens and sorts incoming mail daily, and insures that outgoing mail is delivered to post office; Responds to routine inquiries about cases; Types a variety of documents including letters, statements, memoranda, reports, and legal forms; Reviews supply inventories and operational needs and orders supplies as needed; Creates and maintains filing systems; May compile materials for and coordinate attendance of jurors, attorneys, witnesses, and probation officers at hearings; CLASS N0. 1034 (Continued) May draft routine correspondence for department head's signature; May use word processing or other automated office equipment; May maintain various records and statistics needed for reporting purposes; May be required to take notes by shorthand or speedwriting; and Performs such other duties as may be assigned. REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES: Knowledge of and ability to apply, correct business English. spelling, and math; knowledge of and ability to operate modern office equipment including electric typewriter, word processor, calculator, dictation/transcribing equipment, and copy machine; ability to type at a speed of 55 words per minute with a high degree of accuracy; ability to take sufficiently accu- rate notes at meetings from which to prepare statements (shorthand. speed- writing, etc.); knowledge of legal and courtroom procedures; ability to establish and maintain effective working relationships with other county departments or offices, employees of outside law enforcement agencies and organizations, and with the general public; and ability to understand and follow oral and written instructions and to request clarification when needed. ACCEPTABLE EXPERIENCE AND TRAINING: High school graduation or its equivalent with secretarial courses, includ- ing typing, plus at least three years' responsible secretarial experience (some experience as a legal secretary preferred); OR Any equivalent combination of experience and training which provides the required knowledge, skills, and abilities.
