JOB TITLE: Administrative Secretary
OBJECTIVE:
FLSA• Exempt
To provide a full range of efficient secretarial services to the county
judge, or a department head.
ORGANIZATIONAL RELATIONSHIPS:
1. Reports to: County judge or department head.
2. Directs: May supervise one or more subordinate secretarial or
clerical employees.
3. Other: Works with all department employees, employees in other
county departments, organizations, and agencies outside county
government, and the general public.
GENERAL STATEMENT OF DUTIES:
This is a very responsible position requiring considerable independent
judgment and may involve supervision. Duties include typing various
documents, letters, and reports; maintaining appropriate files and
records; and performing some receptionist functions.
EXAMPLES OF WORK:
Types letters, statements, memoranda. minutes, complex reports, and
statistical or legal documents;
Receives incoming telephone calls and visitors;
Opens and distributes 'mail;
Maintains records, including financial, on departmental activities and
specific projects of the county or department;
Creates and maintains filing system;
Responds to routine inquiries about the county or a department and may be
assigned primary responsibility for processing work relating to a spe-
cific function;
Gathers information for and prepares regular reports;

May prepare materials for and coordinate attendance of jurors, attorneys,
and probation officers at hearings;
May supervise another clerical or secretarial employee as needed and
assigned;
May draft routine correspondence for the county judge's or department
head's signature;
May receive, record, and issue receipts for payments;
May prepare checks for signature by department head;
May perform light bookkeeping;
May serve as a representative of the county judge or department head in
contacts with other employees, officials. and the general public, and in
scheduling appointments;
May perform copying functions using standard office copier(s) or
mimeograph equipment;
May review supply inventories and operational needs and order supplies as
needed;
May take dictation;
May make some calculations by hand or using a calculator;
If administrative assistant to the county judge, maintains county law
library and provides administrative assistance to the Divide County
School District; and
Performs such other duties as may be assigned.
REQUIRED KNOWLEDGE. SKILLS. AND ABILITIES:
Knowledge of and ability to apply correct business English, spelling, and
arithmetic; knowledge of and ability to operate modern office equipment
including electric typewriter and copy machine; ability to type accu-
rately at a speed of at least 65 words per minute; ability to establish
and maintain effective working relationships with co-workers, employees
in other departments, and outside agencies; ability to deal effectively
with the public; ability to communicate effectively orally and in writ-
ing; ability to understand and follow oral and written instructions and
to request clarification when needed; and ability to exercise independent
judgment. May be required to be able to operate a calculator, dictation/
transcribing machine, or to take dictation.

ACCEPTABLE EXPERIENCE AND TRAINING:
A bachelor's degree in public administration, secretarial or office
administration, or a related field, and one year's secretarial
experience;
OR
High school graduation or its equivalent, with business courses, plus at
least three years' secretarial experience, preferably with a governmental
entity;
OR
Any equivalent combination of experience and training which provides the
required knowledge, skills, and abilities.
CERTIFICATES AND LICENSES REQUIRED:
None required. Notary Public is desirable.

._ COURT COORDINATOR JOB DESCRIPTION
PRIMARY DUTIES
To manage, direct supervise, coordinate and plan the operations of the
County Court at Law.
DOCKED MANAGEMENT - Criminal
Maintain and control the criminal docket for the County Court at Law.
This includes the setting and preparation of weekly and ironthly dockets.
Attend and assist court in calling dockets to get announcements and
resetting cases for date and purpose certain.
Supervise notification to attorneys, defendants, and bondsmen on
criminal case settings.
Initiate better and more efficient procedures on dockets and caseflow
to enable fair and speedy disposition in all criminal cases.
Maintain statistical data and records on caseflow and time elements
involved in criminal cases for planning and performance purposes.
Set and supervise special dockets for revocation of probation hearings,
pleas, and pre-trial matters.
Notify jail division of defendants in custody and their scheduled dates
and times for appearances in court.
DOCKED MANAGEMENT - Civil
Supervise preparation and distribution of civil dockets.
Keep the court infornled of any changes on status of weekly and monthly
dockets.
Set and maintain ccanplete ancillary docket of the court.
Get trial settings for the court.
Check weekly with attorneys on status of trial cases set for trial.
TRIAL MANAGII~NT
Set trial docket.
Plan and supervise the mechanics of notice to all connected with trials.
Coordinate the availability of lawyers, parties, and court personnel.
.- Reset all cases not reached for trial.
Make recac˘nendations for improvements and procedures.
JURY MANAGII~'JENT
Plan and summons adequate jurors for the County Court at Law from
the standpoint of both economy and efficiency based on the courts
schedule and docket.
Determine answers to complex inquiries fran respective jurors.
Maintain records and reports on juror usage for plann;ng and reccamierxied
improvements.
RECORDS AND REPORTS
Supervise record keeping of all court functions.
Prepare periodic reports to the judges, ca~missioners court, and other
departments.
Prepare an annual report and analysis of court work.
Maintain schedules, statistics, and other matters for the bench, bar
•~~ and general public.
PROFESSIONAL DE~7ELOPMQaP
Maintain awareness of developments in court coordinators.
Participate in continuing professional education programs.
SECONDARY DUTIES
GIIdERAL ADMINISTRATION
Receptionist for judge's office.
Expedite all other non-routine matters as they arise.
Prepare and reconmend rule changes.
Plan and supervise attorney appointments.
Prepare and coordinate court schedules.
Prepare non-routine correspondence for judge.
Additional duties as necessary.
FISCAL
Prepare specifications and acquire capital equipment for the court.
Supervise periodic inventories.
Plan the acquisition of operating supplies.
Inspect property and arrange repairs and maintenance.
Prepare court budgets and assist in budgeting.
Prepare budget amendments.
